Privacy Management 

Nikon Imaging Center Osaka University (the “Center”) recognizes that the proper management of personal information is very important. Accordingly, personal information will be handled in the following manner:

1. Acquisition of Personal Information
The Center will acquire in a fair and lawful manner, only such personal information as is necessary, and will ensure that the use of such information is restricted.

2. Personal Information Use
Personal information acquired by the Center may be used in the following ways:
・In order to perform procedures and confirmation for use of the Center’s equipment and participation in activities, subsequent contact, etc. 
・In order to respond to various inquiries, requests, etc. from users of the Center (including accumulation of inquiry histories, etc. for improving the Center’s responses).
・In order to use the personal information as reference material to reflect requests from users of the Center (for example, satisfaction surveys, inquiry histories, etc.).
・In order to use the personal information as defined by Personal Data Protection Law and other applicable laws and regulations.

The acquired personal information may, provided that particular individuals cannot be identified, be processed and used as statistical data.

3. Provision of Personal Information to Third Parties
(1) Provision of Personal Information to Third Parties
Acquired personal information shall not be disclosed to third parties except as listed below:  
with prior consent 
where authorized by Personal Data Protection Law or any other relevant laws and regulations.

(2) Provision of Personal Information to Sub-contractors as Statistical Data
Acquired personal information may be disclosed and offered to sub-contractors within the limited scope necessary to achieve the purpose for which the information is being used. In such cases, a confidentiality agreement shall be signed by the third party and the Center shall strictly monitor and supervise the handling of the personal information by the sub-contractor(s).

(3) Personal Information Sharing
Acquired personal information may be shared and used within Osaka University, Nikon Corporation, and Nikon Solutions Co., Ltd. within the scope of the purpose of use stated above. Personal information that may be shared within the group means: names, contact information (addresses, telephone numbers, mail addresses, etc.), history of use of the Center’s equipment, participation in activities, inquiry details, request details, and content of requests. When other items are shared and used, we will notify the relevant parties or publicly announce details thereof separately. The entity responsible for managing personal information to be shared and used shall be Nikon Imaging Center Osaka University.

4. Proper Management of Personal Information
All necessary and appropriate security measures will be taken to prevent the acquired personal information from being leaked, lost, or damaged, and to ensure the safety of the personal information. The Center will also provide education necessary to ensure the proper handling of personal information to its directors, employees, and other related personnel.

5. Inquiries
As a general rule, all inquiries regarding personal information are directed to the Center. Contact regarding confirmation of the purpose of use of personal information, and comments and complaints about the handling of personal information shall also be directed to the Center. Please feel free to contact the Center.

6. Improvement
The Center will comply with Japanese privacy protection related laws and regulations, and will review the contents of this document to strive constantly toward the continuous improvement of privacy protection.
[Note] Personal information refers to information with which a particular individual can be identified (including any information that can be matched with other information to identify a particular individual). Specifically, it refers to names, addresses, birthdays, telephone numbers, email addresses, etc.
